RHCA Job Description - Communications - Newsletter
Responsibilities
- Attend all community association board meetings as voting member
- Produce the "River Rapids" newsletter
- Specify newsletter release dates and deadlines for submissions
- Receive content and advertising submissions
- Design the newsletter layout and produce the finished PDF version
- Submit the PDF newsletter to the selected printing company and order the appropriate quantity
- Approve printing company proofs, if required
- Bundle finished newsletters for post office delivery
- Generate Post Office delivery documents on-line and pay for post office delivery (approx $250 reimbursed)
- Deliver newsletters and delivery documents to the Post Office
- Drop off plastic wrapped bundles of 24 newsletters at each of the 12 apartment blocks in the community (near Canarama shopping centre). (Post office delivery routes also include areas downtown so we do not ask the Post Office to deliver to apartments.)
- Determine invoicing amounts and submit invoicing information to the Treasurer
- Maintain newsletter backups (including content, submissions, and development files)
- Generate membership cards once per year
- Update the master form
- Generate a PDF file for all membership cards
- Get cards printed at Staples (approx $10 reimbursed)
- Cut the printed sheets into individual cards
Requirements and Useful skills
- Computer (Windows, Mac, or Linux operating system)
- Printer (8.5in x 11in B&W) (Laser printer required to print forms to mail newsletter)
- Scanner (optional but recommended)
- Paper cutter (or access to one)
- High-speed Internet connection
- Software applications for Word processing, Spreadsheet, Email, Photo/Image manipulation, Desktop Publishing (recommended free software is available on the Internet for all required applications)
- Word Processing, Spreadsheet - Open Office
- PDF creator - PDF Creator
- Email - Thunderbird
- Photo/Image manipulation - The GIMP
- Desktop Publishing - Scribus editor and open source fonts. Other desktop publishing software may be used, but it must be able to save in PDF format with all fonts in "outline" format. Using the Scribus program insures that future newsletter volunteers will be able to use past layouts and will not have to buy new software to work on their computer.

- English language competency
- Valid credit card (for expenses listed above)
